The Three Steps of ECUSTA's Digital Journey

“Menged” means path. Our digital transition has unfolded in three deliberate steps, culminating in the unified academic digital classroom.

Digital Learning Center

dlc.ecu.edu.et

The institutional LMS platform bringing classroom notes, syllabi, interactive assignments, randomized quizzes, and gradebooks into one unified, self-hosted academic home.

Universal Adoption GoalAccess DLC
Strategic Rationale

Why We Are Unifying on the DLC

Teaching materials, assignments, quizzes, and feedback currently live across too many disparate channels. ECUSTA Menged establishes one predictable baseline.

Uncompromising Consistency

A student moving between medicine, laboratory science, or social work courses should never have to decipher an entirely new method to find notes, submit work, or check marks.

Complete Data Sovereignty

Because the DLC is self-hosted by ECUSTA on institutional servers, all academic evaluations, grades, and student records remain under our sovereign control without recurring per-user vendor fees.

Less Paperwork for Instructors

Objective assignments and quizzes are graded automatically from question banks. Grades compute instantaneously in the central gradebook, cutting administrative overhead.

Early Academic Intervention

Automated activity and completion metrics allow instructors and coordinators to identify students falling behind weeks before midterms, enabling timely academic support.

Archival Institutional Memory

Curricular assets, slide decks, syllabi, and question pools are safeguarded permanently, ensuring seamless transitions when schedules, rooms, or staffing change.

Mobile & Low-Bandwidth Ready

Engineered with mobile-first responsiveness and lightweight bandwidth usage, allowing students to study, review notes, and submit tasks on smartphones and tablets.

System Architecture & Automation

Deep Synchronisation: Digital Learning Center ↔ Student Portal

Information flows seamlessly between the two systems instead of requiring manual duplicate entry. This automation is what makes universal 100% adoption realistic for faculty and registrar staff.

Automatic Cohort Enrolment

Registration data from portal.ecu.edu.et automatically provisions student cohorts, classes, and department groups. First-year students never have to be manually enrolled.

Bi-Directional Grade Passback

Continuous assessment grades logged in the DLC gradebook push automatically into the portal database, eliminating duplicate grade entry for instructors and registrar staff.

Single Institutional Identity (SSO)

Students and instructors use a single, unified credential across both platforms, preserving user profiles, avatar data, and departmental assignments.

Smart Course Combinations

Cross-listed courses, shared common basic sciences, and lab sections are combined automatically based on portal registrar rosters.

Sequential Phasing

The ECUSTA Menged Phased Rollout

Deliberate stages allow us to refine templates, train peer champions, and scale support sustainably across the university.

Phase Scope & Target Cohort

All Medical Laboratory Science (MLS) courses and all first-year freshmen across all departments transition 100% of instruction and materials onto the DLC.

Target Audience:Department of Medical Laboratory Science (All Years) + All 1st-Year Undergraduates

Key Deliverables & Action Items

Every MLS course active on DLC prior to the first day of class
Mandatory freshman digital orientation led by Freshman Coordinators
Every first-year student completes an introductory activity in weeks 1–2
MLS instructors serve as peer champions for sister departments
Mid-term institutional review on platform uptake, student feedback, and continuous improvement
Institutional Baseline

The Minimum Course Standard

Adopted university-wide to protect educational quality and guarantee every student a predictable, structured experience across every department.

01Orientation & Syllabus

Dedicated Course Hub

Each course has an active page containing the approved syllabus, schedule, learning outcomes, and instructor contact information published before the first lecture.

02Curricular Assets

Pre-Class Learning Materials

Lecture slides, notes, reading packets, and video references must be published prior to the related instructional session to enable student preparation.

03Direct Communication

Official Announcement Channel

All course-wide notices, room adjustments, exam reminders, and urgent scheduling communications are broadcast through the DLC course announcements.

04Grade Transparency

Continuous Assessment Gradebook

All assignment scores, quiz marks, and feedback are recorded inside the digital gradebook, giving students real-time visibility into their academic standing.

05Interactive Pedagogy

At Least One Digital Activity Per Unit

Each instructional unit incorporates at least one digital interaction: an online assignment submission, interactive quiz, or discussion forum debate.

Policy Protocol

Clinical & Field Exceptions

Any necessary deviations from this minimum standard (e.g., for bedside hospital rotations or social work fieldwork practicums) are formally coordinated with Department Heads.

Governance Framework

Institutional Roles & Accountability

Every layer of university leadership, faculty, and administration has specific defined responsibilities to ensure campaign success.

Academic Leadership

Provides institutional vision, endorses quality standards, authorizes phase transitions, and reviews university-wide digital learning progress.

DLC Coordination Committee

Cross-departmental committee overseeing rollout timelines, resolving cross-faculty operational bottlenecks, and issuing regular progress updates.

Department Heads

Ensure 100% course participation within their discipline, mentor department faculty, and approve formal clinical/fieldwork exceptions in writing.

Freshman Coordinators

Lead mandatory digital onboarding for all incoming first-year students and maintain direct student support during the crucial first 4 weeks.

Course Instructors & Champions

Build, populate, and maintain active DLC course spaces meeting the minimum standard, with appointed champions mentoring departmental colleagues.

IT & DLC Administration

Maintain server infrastructure uptime, manage automated database backups, handle user accounts, and resolve technical support tickets.

Practical Mitigations

Anticipating Challenges & Infrastructure Safeguards

Real-world academic delivery requires concrete answers to power, internet connectivity, and device accessibility constraints.

Power Outages & Unreliable Internet

Our Solution:

Courses are architected to be lightweight and mobile-first with offline download caching. Campus access points are reinforced, and computer laboratory opening hours are extended during study periods.

Students Without Suitable Personal Devices

Our Solution:

A comprehensive device-need survey will be administered in Phase 0. Scheduled campus computer lab access is reserved for enrolled cohorts, coupled with peer study-circle sharing.

Instructor Workload & Cultural Hesitancy

Our Solution:

Turnkey course templates, hands-on workshops, and departmental peer champions will provide direct one-on-one assistance. Early faculty adopters will receive institutional recognition.

High Server Concurrency During Exams

Our Solution:

Comprehensive load testing will take place prior to each exam cycle. Assessment time-windows will be staggered across cohorts to eliminate peak traffic bottlenecks.

Data Security & Academic Privacy

Our Solution:

The platform is 100% self-hosted on ECUSTA-owned infrastructure with role-based access permissions, scheduled automated backups, and strict institutional data governance policies.
